Accounts Receivable Specialist (Remote)

About the role

We are looking for an Accounts Receivable Specialist to join our accounting team at HeadQuarters. This fully remote position supports US cannabis companies by managing receivables, invoicing, and payment processing in a fast‑paced, high‑volume environment.

Key responsibilities

• Manage and maintain aged accounts receivable across wholesale and retail accounts, ensuring timely collections.
• Monitor aging reports and proactively follow up on upcoming and past‑due invoices via phone, email, and written correspondence, documenting all activity.
• Investigate and resolve invoice disputes, deductions, short payments, and unapplied cash.
• Process, apply, and reconcile customer payments and credit memos in Dynamics and Acumatica ERP systems.
• Monitor customer credit risk, review payment trends, and support credit reviews for new and existing accounts.
• Partner with sales personnel to manage customer accounts, review credit limits, enforce credit holds, and balance collections with relationship management.
• Perform account reconciliations and support retail partners with statement reviews, payment research, and dispute resolution.
• Identify delinquent or high‑risk accounts and recommend payment arrangements, escalations, third‑party collections, or legal action.
• Maintain accurate records and prepare reports on AR aging, account status, collections activity, and critical updates.
• Participate in weekly meetings with the CFO and Financial Controller to provide updates on critical accounts and AR performance.

Required profile

• Strong background in accounting with a focus on accounts receivable.
• Experience using ERP systems; knowledge of Dynamics and Acumatica is a plus.
• Excellent communication, negotiation, and problem‑solving abilities.
• Highly organized with strong attention to detail.
