About the role
You will provide high‑level administrative support to the global Talent, Development & Learning leadership team, primarily based in the United States. The role offers high visibility, close partnership with senior leaders, and the chance to shape how the function operates worldwide.
Key responsibilities
- Manage complex calendars, travel arrangements, and expense reporting for Global Heads of T&D and other senior leaders.
- Plan and execute team meetings, off‑sites, and events, including minute‑taking, action‑item tracking, and maintenance of SharePoint sites, distribution lists, and Teams channels.
- Oversee financial administration such as budget tracking, purchase order creation, invoice processing, and coordination of contracts with procurement.
- Prepare, edit, and review communications, presentations, and other written materials.
- Collaborate with Talent & Development administrative teams and executive support across Novartis.
- Drive digital and AI‑enabled ways of working to continuously improve processes.
Required profile
- Excellent administrative skills with a proven ability to handle confidential information discreetly.
- Strong ability to manage rapidly changing schedules in a fast‑paced, global environment.
- Self‑motivated, proactive, and resourceful with a knack for anticipating needs and proposing solutions.
- Outstanding organizational and time‑management capabilities.
