Intellectual Property Legal Assistant – US Support (Hybrid, Mexico City)

About the role

Alcon is seeking an Intellectual Property Legal Assistant to support its US‑based IP team from Mexico City. The role involves managing IP‑related operations, filings and deadlines within a global environment, while working in a hybrid model.

Key responsibilities

• Manage and track intellectual property deadlines, ensuring timely and accurate filings.
• Prepare and process official IP documentation and forms according to established procedures.
• Review and proofread legal documents for accuracy, formatting and compliance before submission.
• Support attorneys with IP‑related administrative tasks with limited supervision.
• Maintain and update IP records, ensuring completeness of application files.
• Coordinate communications with internal teams, external agents and stakeholders.
• Identify data inconsistencies and report issues following defined guidelines.
• Assist with process documentation and continuous‑improvement initiatives.
• Support billing and administrative processes, including invoice tracking and vendor coordination.
• Provide general operational support to the IP and Legal team as needed.

Required profile

• Bachelor’s degree in a related field.
• 3+ years of experience in a deadline‑driven role where accuracy is critical.
• Strong written communication and proofreading abilities.
• Ability to quickly learn and navigate new system platforms.
• Experience in the legal field or familiarity with the intellectual property lifecycle is desirable.
• Collaborative, creative and problem‑solving mindset.

Required skills

• Microsoft Excel – creating and combining spreadsheets, using accounting formulas and VLOOKUP.
• Microsoft Word – drafting, formatting and exporting documents to Adobe PDF.
• Adobe PDF handling.
