Executive Assistant – Founder’s Right Hand (Remote)

About the role

This remote, full‑time Executive Assistant position supports the founder of a nationally recognized luxury salon and wellness spa. The role goes beyond traditional assistance, acting as a proactive partner who anticipates needs, drives accountability, and manages key operational workflows.

Key responsibilities

• Own the founder’s inbox: triage, draft responses, highlight priority items, and clear unnecessary messages.
• Manage the founder’s calendar: schedule, reschedule, protect focused time, and provide daily briefings.
• Take detailed meeting notes and convert them into tracked action items.
• Hold the founder accountable to commitments, reminding of deadlines and deliverables.
• Serve as primary liaison with vendors (electricity, internet, catering, accounting, software providers, etc.).
• Extract basic reports from Zenoti and other systems, and troubleshoot data‑access issues.
• Send client communications via Zenoti CRM and other tools.
• Organise undocumented SOPs into clear, actionable workflows.
• Draft and send internal and external communications as directed.

Required profile

• Highly organized senior‑level professional comfortable working with minimal supervision.
• Strong ability to prioritize, ask clarifying questions, and push back when necessary.
• Excellent written communication and attention to detail.
• Proactive mindset with a focus on problem‑solving and accountability.

Required skills

• Experience with Zenoti or similar salon management software.
• Familiarity with CRM platforms.
