Finance & Administration Manager

About the role

The Finance & Administration Manager will own day‑to‑day financial operations and the administrative backbone of the company. Reporting to the CEO and working closely with the shareholder‑nominated CFO, this hands‑on role will be the primary finance voice, ensuring accurate bookkeeping, timely payments, and smooth coordination with external accountants and shareholders.

Key responsibilities

• Maintain daily bookkeeping, including accounts payable, accounts receivable, expense recording and account reconciliation.
• Validate supplier invoices and CFDI documentation before processing and keep audit‑ready financial records.
• Prepare and route payment applications, track approvals, reconcile executed payments and manage vendor onboarding.
• Issue invoices to fleet operator partners, monitor receivables aging and escalate overdue balances.
• Serve as the day‑to‑day contact for the external accounting firm, review their work and support monthly close, tax filings and compliance.
• Prepare internal and shareholder reporting packages in Spanish and English.
• Coordinate payroll with the external provider, validate calculations and manage statutory benefits and IMSS/INFONAVIT contributions.
• Run HR onboarding for new team members and manage benefits enrollment.

Required profile

• Proven experience in bookkeeping, accounts payable/receivable and payroll coordination.
• Familiarity with Mexican tax regulations and CFDI requirements.
• Ability to work independently, spot issues early and act as a bridge between internal teams, external accountants and shareholders.
• Strong organizational skills and attention to detail for audit‑ready documentation.
• Excellent communication skills in both Spanish and English.
