Relationship Manager & Executive Assistant (Remote, LATAM)

About the role

This dual‑function position blends client relationship management with executive support for a fast‑growing firm serving high‑net‑worth clients across LATAM. You will work remotely, partnering with advisors, strategists, and the CEO to ensure seamless client experiences and efficient executive operations.

Key responsibilities

• Attend client meetings with advisors, capture real‑time notes, decisions, and action items.
• Maintain an action‑item log: assign owners, set due dates, record everything in the CRM, and follow up until closure.
• Serve as a secondary client contact for scheduling, status updates, and coordination, escalating substantive issues as needed.
• Keep client records clean and up‑to‑date in HubSpot (or similar CRM).
• Identify and pilot AI tools that improve meeting preparation, execution, and follow‑up.
• Own the CEO’s inbox: triage, draft responses, and prevent backlog.
• Manage the CEO’s calendar with precision, protecting focus time and resolving conflicts.
• Handle ad‑hoc projects and requests from the founder, leveraging AI to increase efficiency.

Required profile

• 1–3 years of experience in an executive assistant, coordinator, or client‑facing support role, preferably in financial services, consulting, or professional services.
• Excellent written and verbal communication in English, with a polished, client‑focused demeanor.
• Proven system for tracking tasks and action items across multiple stakeholders.
• Strong organizational abilities and the capacity to juggle competing priorities without losing detail.
• Curiosity about AI and emerging productivity tools.

Required skills

• HubSpot (or comparable CRM) for data entry and task tracking.
• Microsoft Office Suite.
