Senior Executive Assistant

About the role

White Star Logistics is a remote‑first freight brokerage and 3PL scaling to deliver one million loads. The Senior Executive Assistant will partner directly with the executive team to create structure, streamline operations, and support both business and occasional personal priorities. This high‑trust, high‑responsibility position is fully remote, based in Mexico, with occasional travel to the United States.

Key responsibilities

• Manage executive inboxes, prioritize communications, and protect focus time.
• Maintain and synchronize personal and professional calendars; coordinate domestic and international travel and expense reporting.
• Lead end‑to‑end recruiting processes: screen resumes, conduct initial interviews, perform reference checks, and support onboarding.
• Attend leadership meetings, prepare agendas, capture notes, track action items, and ensure follow‑through.
• Maintain dashboards, KPI trackers, digital filing systems, and recurring workflows.
• Develop and update SOPs, identify operational improvements, and support strategic initiatives.
• Provide occasional personal assistance such as errands or appointment scheduling.

Required profile

• 7+ years of experience supporting a founder, executive, or entrepreneur.
• Fluent in English and Spanish.
• Based in Mexico, able to work fully remote with occasional U.S. travel.
• Strong organizational, prioritization, and follow‑through abilities.
• Experience in recruiting or HR functions.
• Excellent written and verbal communication skills.
