Senior Executive Assistant – Operations, Finance & Projects

About the role

We are looking for a senior executive assistant to serve as the operational backbone for the two founders of Silva Media, a fast‑growing bilingual real‑estate marketing agency. The role combines executive support, project coordination, and financial administration to keep the company running smoothly as it scales.

Key responsibilities

• Manage the founders’ calendars, inboxes, meeting preparation, follow‑ups and personal logistics, anticipating needs before they arise.
• Own the company’s operational engine: track tasks, priorities and deadlines across the team using ClickUp, Monday.com, Asana or Airtable.
• Ensure financial processes run on time – client invoicing, payroll coordination and reviewing the outsourced bookkeeper’s reports.
• Hold team members accountable for deliverables, surface stale or orphaned items, and keep a single source of truth for project status.
• Coordinate cross‑functional projects, aligning resources and timelines to support rapid growth.

Required profile

• Self‑managed, highly organized professional who proactively identifies gaps and drives solutions.
• Experience supporting senior executives in a fast‑paced environment.
• Strong communication skills and ability to manage multiple priorities simultaneously.
• Comfortable overseeing financial admin and working with external bookkeepers.

Required skills

• Proficiency with project‑management platforms such as ClickUp, Monday.com, Asana or Airtable.
• Advanced use of Microsoft Outlook and Excel for scheduling and reporting.
