Remote Production Assistant

About the role

We are looking for a Remote Production Assistant to support our boutique agency’s end‑to‑end event operations. You will work directly with small‑business owners in the United States, handling everything from the first client inquiry to post‑event follow‑up.

Key responsibilities

• Manage the full event pipeline: respond to inquiries, prepare quotes and proposals, send contracts, issue invoices and track follow‑ups.
• Serve as the primary point of contact for clients throughout the event lifecycle.
• Coordinate with vendors, venues, contractors and other third‑party partners to ensure smooth execution.
• Maintain accurate records in CRM and event‑management tools, including calendars, documents, contracts and invoices.
• Provide proactive, detail‑oriented support in a fast‑paced, last‑minute‑change environment.

Required profile

• At least 1 year of experience in event coordination or event operations (full lifecycle, not only day‑of).
• 2 + years experience working with clients in the US, UK, Canada or Australia.
• Fluent written and spoken English.
• Strong administrative foundation: calendar and inbox management, document organization, contracts, proposals, quotes and invoices.
• Ability to create structure from ambiguous situations and take ownership of mistakes.
