About the role
We are seeking a highly organized Executive Assistant & Operations Coordinator to support our leadership team in Mexico City. The role combines executive support with operational coordination, ensuring smooth day‑to‑day processes in a fast‑paced environment.
Key responsibilities
- Manage executive calendars, schedule meetings and coordinate appointments.
- Arrange travel itineraries, logistics and related documentation.
- Facilitate communication between leadership, internal teams and external partners.
- Prepare presentations, reports and other business documents.
- Assist with email and task management to maintain organization and follow‑ups.
- Track project timelines, deliverables and ongoing initiatives.
- Optimize administrative workflows and operational processes.
- Handle expense reports, reimbursements and related paperwork.
- Conduct research and gather information to support business initiatives.
- Maintain a high level of professionalism, confidentiality and discretion.
Required profile
- 2–5 years of experience in executive assistance, administrative or operations support.
- Fluent English communication skills.
- Proven ability to manage calendars, meetings and travel coordination.
- Strong organizational, multitasking and attention‑to‑detail abilities.
- Effective interpersonal and communication skills.
- Professionalism, discretion and a problem‑solving mindset.
Required skills
- Proficiency with Microsoft Office Suite.
- Proficiency with Google Workspace.
- Experience using scheduling or collaboration tools.
