About the role
You will provide high‑level administrative support to the global Talent, Development & Learning leadership team, primarily based in the United States. The role demands discretion, proactive problem‑solving, and the ability to work autonomously while collaborating across a worldwide network.
Key responsibilities
- Manage complex, ever‑changing calendars for Global Heads of T&D and other senior leaders.
- Coordinate international travel, expense reporting, and related approvals.
- Organise team meetings, off‑sites, and events, including minute‑taking, action‑tracking, and maintenance of SharePoint sites and Teams channels.
- Oversee financial administration: budget tracking, purchase orders, invoice processing, and vendor contract coordination with Procurement.
- Prepare, edit, and review communications such as announcements, presentations, and correspondence.
- Collaborate with Talent & Development Administrative teams and other executive support groups across Novartis.
- Drive digital and AI‑enabled ways of working to continuously improve processes.
Required profile
- Excellent administrative expertise with a proven track record of handling confidential information with integrity.
- Ability to manage complex, global schedules while prioritising tasks and meeting tight deadlines.
- Self‑motivated, proactive, and resourceful, with strong anticipation of needs and risk mitigation.
- Outstanding organisational and time‑management capabilities.
