Personal Assistant to Senior Leadership

About the role

BMW is looking for a proactive Personal Assistant to provide first‑class administrative and organisational support to senior leadership in a fast‑paced, international manufacturing environment. You will act as a trusted liaison, ensuring smooth communication and confidentiality across the organisation.

Key responsibilities

• Manage senior executives’ calendars, correspondence, and agenda coordination.
• Track departmental budgets, prepare and consolidate financial reports for multiple management levels.
• Plan, coordinate and follow up on executive meetings, workshops and management sessions, including agendas, presentations, minutes and action tracking.
• Arrange domestic and international travel, handle expense submission, reconciliation and reporting.
• Support internal committees and cross‑functional projects, ensuring structured follow‑up on deliverables and milestones.
• Track, analyse and prepare KPI reports to keep management aligned with strategic objectives.
• Provide administrative support for compliance, safety, training and environmental programmes.
• Coordinate social‑responsibility initiatives and other strategic site activities.

Required profile

• Bachelor’s degree in Business Administration, Management, Executive Assistance or a related field.
• Fluent English (written and spoken).
• Minimum 6 years of experience in executive‑level administrative roles supporting senior management.
• Strong experience in budget tracking, reporting and management‑level information coordination.
• Professionalism, discretion and reliability when handling sensitive information.
• Ability to work independently, anticipate needs and manage competing priorities.

Required skills

• Experience with ERP systems.
• Proficiency in SAP SRM.
• Proficiency in SAP Concur or similar expense‑management tools.
