Business Operations & GTM Assistant

About the role

We are seeking a Business Operations & GTM Assistant to serve as the operational backbone of a fast‑growing, AI‑forward tech company. You will manage contracts, payments, CRM data, and vendor relationships while building systems that eliminate repetitive manual work. The role sits at the intersection of Business Operations and Go‑to‑Market support, reporting directly to the Business Operations Lead and the Head of Partnerships and Growth.

Key responsibilities

• Send contracts and agreements for signature, track status, and file signed copies in the appropriate customer records.
• Maintain up‑to‑date contract and agreement templates.
• Process vendor and ad‑hoc invoice payments, monitor daily failures, and resolve issues.
• Track referral and partner payments and ensure accurate billing updates during customer off‑boarding.
• Manage recurring vendor/partner billing and produce monthly cost‑allocation reports for P&L accuracy.
• Handle weekly reimbursements and coordinate company card issuance.
• Incorporate HR policy updates, maintain SOP documentation, and identify automation opportunities.
• Keep HubSpot (or similar) CRM clean, manage deal pipelines, and support outbound sales reporting.

Required profile

• 1‑3+ years of experience in business operations, sales operations, executive support, or a similar cross‑functional role.
• Strong organizational skills with the ability to juggle multiple detail‑heavy workflows.
• Proactive follow‑through and the ability to work independently in a fast‑paced startup environment.
• Clear, professional written English for internal and external communication.
• Comfort with using AI tools to streamline repetitive tasks.

Required skills

• HubSpot CRM (or similar) proficiency.
• Experience with payment platforms such as Stripe or Ramp.
• Familiarity with contract signature tools (e.g., DocuSign) and vendor invoicing systems.
