Tour Reception Representative (Hostess Vacation Club)

About the role

The Tour Reception Representative supports the Hostess Vacation Club by managing the Tour Desk, handling guest interactions, and ensuring smooth tour registration and gifting processes. This position plays a key role in maintaining high standards of customer service and operational compliance.

Key responsibilities

• Open and close the Tour Desk daily, performing routine maintenance on the Concierge Assistant system.
• Import data from the property management system and process daily call lists for Vacation Club members.
• Assign arrivals, log appointments, and distribute premiums and Starpoints to guests.
• Maintain the daily tour booking schedule, screen customers according to qualification guidelines, and monitor tour activity and Sales Executive availability.
• Compile and enter tour statistics, generate daily and monthly activity summaries, and communicate schedule updates to Vacation Club staff.
• Exercise judgment in tour scheduling, over‑bookings, and problem resolution to ensure a positive guest experience.
• Collaborate with Marketing and Sales Management, assist with special projects, and manage Tour Desk inventory and supplies.

Required profile

• Bilingual proficiency in English and Spanish.
• Strong computer literacy, especially with Microsoft Office applications.
• Mathematical and analytical reasoning abilities to solve problems with limited standardization.
