Tour Reception Representative – Vacation Club

About the role

The Tour Reception Representative supports the Vacation Club by managing the Tour Desk operations, handling guest interactions, and ensuring accurate tour registration and gifting. This position plays a key role in delivering a seamless experience for guests and internal teams.

Key responsibilities

• Open and close the Tour Desk daily, maintaining the Concierge Assistant system.
• Import property‑management data into Concierge Assistant and process daily call lists.
• Assign arrivals to Vacation Club staff, log appointments, and distribute premiums and Starpoints.
• Maintain the daily tour booking schedule, screen customers, and monitor tour activity against qualification guidelines.
• Compile and enter tour statistics, generate daily and monthly activity summaries, and report discrepancies.
• Communicate with Vacation Club staff regarding bookings, exercise judgment on over‑bookings, and ensure a positive customer experience.
• Collaborate with Marketing and Sales Management, assist on special projects, and track Tour Desk inventory and supplies.

Required profile

• Bilingual proficiency in English and Spanish.
• Strong mathematical and reasoning abilities.
• Professional demeanor with excellent customer‑service techniques.

Required skills

• Computer literacy with Microsoft Office, Excel, and Word.
