Accounts Payable Specialist

About the role

The Accounts Payable Specialist will report to the Controller and ensure accurate recording of invoices, timely payments, and proper payroll processing for a fast‑growing real‑estate and property‑management firm operating in Mexico and the U.S.

Key responsibilities

• Record every invoice with the correct property, entity, account, and project code while auditing for duplicates or missing information.
• Secure budget‑owner sign‑offs, hold unsupported invoices, and manage advance‑payment approvals.
• Maintain up‑to‑date tax records, payment details, and vendor documentation; escalate missing records.
• Verify payroll rates, hours, bonuses, and reimbursements against approved records and submit payroll after independent approval.
• Build payment batches aligned with approved invoices and cash priorities, and reconcile vendor statements.

Required profile

• Proven experience in accounts payable and payroll preparation with strict deadline control.
• Strong ability to audit invoice coding, payment approvals, bonus calculations, and reimbursement documentation.
• Fluency in clear spoken and written English for cross‑border communication.
• High discretion with confidential payroll and banking data.

Required skills

• Proficiency with Excel or Google Sheets.
• Experience with standard accounting software and payroll systems.
• Familiarity with property‑management software such as Yardi or AvidXchange (preferred).

• Salary range $1,700 – $2,100 (USD) paid bi‑weekly.
• Hybrid work model – minimum two days per week in the Mexico City office.
